Then stop it!  That is, unless you need the recipient to edit and send it back (but that’s another post, you should be using Google Docs).

Word or Excel files are not universally compatible.  A person may have an older version of Word, Excel or Office and they won’t be able to view a file or view it the way you intended. And if you send it to a Mac person they are even more likely to have problems with it.

It is pretty easy to create PDF files of ANYTHING and to email  those files instead.  PDF is a univeral format that displays the original data just as it was originally created.

Mac’s have PDF support built in.   For PCs EVERYONE should install  a program  such as CutePDF which is a printer driver.  That means anytime you are looking at something you want to send to someone, be that a word doc,  a spreadsheet, a webpage, an email message, a map,  etc. , just select to  print it using the installed  CutePDF driver and out will popout a nice PDF file for you to email.

CutePDF is free,  so what are you waiting for?

I should have protected my friend, Lee better.  He was eager to update his iPhone with the just released 3.0 software.  I don’t own an iPhone but am becoming somewhat familiar with the device and software due to Cassidy and David each buying for themselves an iPod touch (it’s not the device that breaks the bank, it’s the service plan -$70 minimum).

We downloaded the latest iTunes to Lee’s laptop since he has never used iTunes or hooked up his iPod to a computer!  We then started the update.  Once downloaded it began to install. We left it working to have dinner and when we returned we found that his laptop had turned itself off.  First lessson:  Never do a significant software install/update on a laptop that is not plugged in!   I recently upgraded Windows Vista on my laptop and it didn’t let me continue until I had plugged in the laptop.  Now that’s a nice touch!  Too bad Apple didn’t think to protect the user in the same way.

When we powered  the laptop back on we found the iPhone in a recovery state.  We had no choice but to select restore (to factory settings).  That looked really bad.  Lee had no known backups and he had over 300 names that he has collected over the past 10 years. His iPhone is only a few months old and he had originally synced his blackberry to it with a SIM card.  After the restore had completed and we confirmed that he did in fact have his contacts completely wiped, Lee was as low as I’ve ever seen  him.  We called Apple but the technician had no good news for him.  Although the iPhone appeared  to do a sync when we first plugged it in to his laptop after installing iTunes, there was no backup (right click the iPhone device in iTunes).  The technician said that iTunes performs a backup before each sync.  That seemed to be strike two against Apple in looking out for the customer.   We did realize that Lee should be able to download his contacts from an old SIM card as he had done originally.  The  Apple technician said we would have to go to AT&T to do this.

Well,  not wanting to give up yet, I did a google search and found others in the same predicament.  I found out that in the iPhone Settings….Mail page at the very bottom there is a button to Sync from SIM card.  That did it!  There were some numbers missing that Lee had added which apparently saved to the iPhone memory rather than the SIM but most of his lost numbers had been recovered.  Fortunately, Lee didn’t have any music or other data that was lost.  He actually uses the iPhone as a phone!  Go figure!

I uninstalled the Google Desktop Search Outlook add in, however,  it didn’t appear to have cleaned up completely.  Starting Outlook,  I kept getting “The add-in “Google Desktop Search Outlook Addin” …cannot be loaded and has been disabled by Outlook. Please contact the Add-in manufacturer for an update. If no update is available, please uninstall the Add-in.”

What worked was to locate and remove the following file:

I’m moving my Blog from TypePad to WordPress

After almost 6 years I am looking at moving my blog over to WordPress from TypePad.com.  I feel TypePad is always a  little  behind the curve in functionality.  It took them a while before they supported Pages.  They do not support category/label feeds unless you have a Pro account and you have to jump through some hoops to make it work even then.

I’ve been using FaceBook lately and was excited to learn that I could get FaceBook to automatically pull in as notes, my blog posts.  I really only want to pull in general posts and not my geeky programming posts which is why I really want to be able to specify a category feed.  I think  this is something TypePad should include in my Plus account which I pay $71.60 per year.  Other services offer it for free and you don’t have to do anything, the feeds are just there!

The last straw was when I contacted TypePad support to share my views on this and got a less than satisfactory response.  Their support has always been pretty good though the answers were often unsatisfactory (we don’t support that, maybe one day).  I stated I felt the category feeds should be a basic feature and they replied they would be happy to pass my note on to their engineers for suggestions on future improvements.   This isn’t an improvement, it is a sales/marketing issue.  Yeah, I’m just starting to feel like a number with them and feeling I can actually get a better product with an opensource solution!

My hosting service LunarPages, which I love, offers to install WordPress for free which I did and I was able to import my TypePad blog without issue.  I’m not done yet, and I still have a bit of work to do but I think I’m going to be happy with the switch. I never did set the domain mapping in TypePad so I have more work  to fix all the links and links to images.

TypePad doesn’t offer FTP publishing which Blogger offers.  I don’t feel like I truly have control of my own content, until now!

Right-drag the application icon or application shortcut icon from the start menu to your desktop and choose "Create shortcut here" from the menu that  displays when you release the right mouse button.  Rename the shortcut as appropriate.

In Vista, paste the following into a Windows Explorer addressbar:

Move the shortcut you recreated to the SendTo folder you just opened up.

We use Google Docs and GMail at DVFilm. Should we be concerned?  I  don't think so.  If I'm going to trust someone,  I feel Google is as trustworthy as anyone.  Here is one review of Google's term of service and another. We do not post proprietary information, passwords, or customer information.  The docs are internal docs that we use to document processes, take notes, and to help us stay organized.  The nice thing  about Google Docs is that it can  import AND export to various formats.  Export formats for documents include Word, HTML, RTF,  and even  PDF!  Spreadsheets can be exported as HTML, CSV, XLS and PDF.  Even if you kept your data locally behind a firewall, you shouldn't have just one location for important files.  So if you use Google Docs, backup!  That goes for email as well. 

I just setup Outlook 2007 to download all the mail from two Gmail accounts we use for support.  I created multiple mail profiles.  You can't do this within Outlook 2007, in Vista you go to the Control  Panel. In Control Panel mode, not classic, you select user Accounts, then Mail.  From here you can create  multiple profiles, not to be  confused with email  accounts which are where your mail  is stored.  I created two profiles and selected "Prompt for a profile to be used" which causes Outlook to prompt for a profile on startup.   I also created  separate data files.  Selecting Show Profiles, you select  a profile then select properties where you can create a new data file and make it the default for the profile.  You can  also manage the data files in Outlook by selecting File…Data File Management.

A friend forwarded me an attachment recently.  He uses AOL service.  AOL is the only service that I’ve ever received garbled attachments from in email.  It is usually when a forwarded email is forward several times.  After clicking through three attachments, I get the final attachment; a file named ATT00036.txt.  Opening it up shows this (i’ve only excerpted a portion):

Having worked on a mail program before (Netpliance Inc.) I recognized that the mail was being sent in the “Internet” format (MIME) rather than being interpreted in a friendly way by mail programs along the way.  You see “binary” data such as images cannot be sent across the Internet unless they have been converted to a “text” (ascii) format. This format is usually Base64.  That’s the aSNR91WPJ7UUUrsD/2Q== gobbly-gook that you see above. Anyway, all I did was cut and paste that Base64 data, I used this online Base64 decoding site, and voila, I got this wedding invitation:

I use Premiere Elements 3.0.  I’ve created many projects to edit footage from my DV camera.  I just discovered that PE creates cached media files, autosaves and other files that take up a lot of space!  Incredibly, PE doesn’t give you a way to delete projects you have saved so these extra files accumulate on your hard drive.  I found this thread on how to delete a Premier Elements project


You go to where your project files are being saved and delete the folders:

I have friend shopping around trying to repair his laptop that crashed.  He needs a new hard drive and needs to recover important data from it.  Best Buy quoted him $300-$3000 to recover his data.  Why even GIVE an estimate?  Jane's Mac mini recently also crapped out and I'm having her 80gig HD replaced and data restored for $200.

My friend asked me if I back up my data.  I told him "sort of".  I HAVE backed up my important documents, photos, and music to an external hard drive but it's been over a year since I've refreshed it.  I do have some redundancy in that some of my files are copied onto my other computers.  I also have a copy on my website.  But still, I'm exposed and need to take my backup process more seriously.

Coincidently, I read this recent post at Phanfare.com.  It advocates backing up your important data to a location somewhere on the Internet.  But I've read horror stories about that solution as well when a customer lost all their photos from a service.  Personally, I would advocate backing things up on two different external sources at home AND online somewhere.  I plan to use an external hard drive and a second computer for redundency for important files.  I'll keep some files on my website.  Photos, Video and Music presents a bigger challenge because they take up so much room and the process of uploading is very time consuming.  I'll use a combination of DVDs and external HD for those.

AddressBook – select all your contacts and select File…Export vCard.  This will create a file a .vcf  file.  You can then download and run this A to G program to convert the file to a comma seperated file (.csv).   This file can then be imported into Gmail.  To restore, you can export back to a file that AddressBook can  import.
